Summertime is heating up, and so are new and renewed business contracts between shows and a bevy of suppliers.

Experient recently renewed its contract with Emerald Expositions through 2023. With this new six-year deal, which officially begins in 2018, Experient will provide registration, lead retrieval and its EDGE marketing platform for Emerald’s 74+ shows each year, as well as housing services for select shows.

Emerald, the largest operator of business-to-business trade shows in the United States, has been working with Experient since 2012.

Emerald serves a wide variety of industry sectors, including gift, home and general merchandise, sports, design and construction, technology, jewelry and more. 

“Our decision to continue working with Experient was based on the positive relationship we have already established and their continued development of technology and innovation in the event registration space,” said Cathy Griffith, senior operations director for Emerald Expositions.

SPIE, a long-time client of Convention Data Services (CDS), has renewed their contract for another two years.

Under the agreement, CDS will provide onsite registration services, integrations, session tracking and lead management services for SPIE’s top events: Photonics West, Advanced Lithography, Defense + Commercial Sensing, Optics + Photonics and OPTIFAB.

"In a complex and quickly changing event environment, an event organizer needs trusted, proven service partners to implement the many aspects of pre-event and onsite services,” said Randy Cross, director of Event Services and Venues, SPIE.

He added, “SPIE is pleased to renew our registration and lead-retrieval service contract with Convention Data Services! Candy Adams, aka “]]>The Booth Mom]]>®,” is a hands-on trade show exhibit project manager and trainer. She helps exhibitors maximize the return on their exhibit investment using the best strategic, tactical and training practices. 

I was recently reading a trade show industry blog and one of my pet peeves jumped out and grabbed me. My blood pressure immediately shot up. It was an article on how an exhibitor enticed attendees to drop off their business cards in a bucket at their exhibit to win a TV and how wonderful it was to get so many more trade show leads. The only problem is, the cards – that they called “leads” – had no known connection whatsoever with the card owner having any interest at all in their product.

I hate to be the one to break the bad news to the exhibitors who do this, but what they have are not leads. They have business cards….and they are NOT the same as leads!

Having a fishbowl in your exhibit gathering business cards for a high-ticket item raffle is not exactly qualifying show suspects into prospects (the one exception is if your product is what you’re raffling off, which usually isn’t the case). What you do have is a bucket full of cards of contestants who want to get something for free. 

Now don’t get me wrong. There’s nothing wrong with collecting business cards if your objective is to, say, populate a database for a mailing list and you mark the business card bucket with a sign that says, “Want to be added to our mailing list? Drop your business card here__.”  Then you’re on the right track and meeting your objective.

But if you’re working with your sales force to get them accurate, complete qualifying information they can use to contact prospects after the show and turn those prospects into customers, just gathering business cards is downright counterproductive. In their eyes, it brings down the value of all the leads you present them since there is little value in just contact information. You’ve polluted your entire lead pool by pawning off general attendee contact information they could have gotten buying an industry mailing list. You’ve also wasted a lot of your sales team’s valuable time.

Common elements of a qualified lead

If you asked your sales staff what information they need to turn a trade show contact into a warm call worth making after the show, they’ll probably list most of these things:

1. Accurate contact information, including correct title and verified phone number and email address

2. A decision-making role in influencing, recommending or purchasing the type of product or service you’re selling

3. Which product(s) or service(s) the prospect expressed an interest in

4. An expressed need for your solution to solve their specific problem

5. The timeframe when the prospect needs your solution

6. The budget available for acquiring your solution

7. A desire for a specific post-show follow-up (email, catalog, phone call, demo, proposal, etc.), with a timeframe attached (call by June 15, email catalog URL immediately, add to e-newsletter database before Q2 mailing, etc.)

I can’t remember the last time I saw any of this information on a business card. It’s not on my card. How about yours?

So, I guess there is a difference between a business card and a “hot” qualified lead.

The Wheat from the Chaff

And, if you’re serious about sorting out your real prospects from your “trick or treaters” at a show who just want to score your giveaway, add a final question to your lead form. A simple yes or no answer will do the trick to cull out at least 30 percent of the “bag people” who have no real interest in your product. Add the final qualifying statement: “I’m only here for the giveaway. No follow-up required.  □ Yes    □ No”

Your next stop should be straight to the circular file with those who checked “Yes!”

Your sales force will love you for not burying them in contestants or swag collectors, and you’ll be a hero for saving them time and effort!

More keynote speakers have been unveiled for the 2017 Destination Marketing Association International (DMAI) Annual Convention in Montréal, Canada July 11‐14.

How many U.S. convention centers can boast having their very own farm, not to mention a slew of beehives pumping out delicious honey for in-house menus and catering? And out of those select few, how many facilities also have an enthusiastic young college intern ready and willing to help with beekeeping and farmhand duties?

The Huntington Convention Center of Cleveland is fortunate enough to be such a venue, with a sustainable working farm situated on a quarter acre of land at the north end of the property.

Operated by Levy and SMG, the “Real FarmVille” is home to 500,000-1.5 million honeybees occupying 13 hives that generate more than 2,000 pounds of honey annually; 26 chickens providing about two dozen eggs daily (accounting for a quarter of the facility’s total annual shelled egg use); a variety of raised produce beds featuring seasonal greens, herbs and vegetables, and three Mangalista heritage breed pigs.

As part of his summer internship for Levy, the HCCC’s food and beverage provider, Ohio State University at Wooster Business Management Undergrad Andy Mondello will be working closely with the facility’s bees for a special research project as well as lending a hand with basic farmhand duties.

“Andy will bring his knowledge and passion for bees and beekeeping to our Real FarmVille this summer as well as conducting important research for Ohio State University,” explained Matt Del Regno, executive chef for Levy.

He continued, “He will ensure that our property is show-ready at all times for the thousands of guests who love to view the farm, learn about sustainable farming and growing practices, and see where much of their food is coming from.”

During his studies at OSU, Mondello has developed an interest in entomology under the tutelage of Professor Reed Johnson with the Ohio State Agricultural Technical Institute (ATI).

During the summer, professor and student will be busy conducting bee pollen collection as part of a study of bees in urban environments and the types of pollen they collect in and around downtown Cleveland.

The concept is simple: the bees fly anywhere up to approximately three miles from the hives, collect pollen from various sources, including clover and buckwheat, then return to their home base at the HCCC.

Pollen traps placed in two of the hives collect pollen that drops off the bees as they reenter the hives, pollen that is then measured by the OSU researchers to determine its origin.

As an active member of the OSU ATI Bee Club and someone who has worked with 30-40 hives in the ATI Bee Lab, Mondello is excited about his summer internship at Real FarmVille, work that will not only help him earn college credit but also provide invaluable hands-on experience as he considers his future career.

“I would ideally like to work here as long as possible and also start a side business as a beekeeper,” Mondello said.

He added, “I plan on having a bee business in the future where I can sell my own honey. I really like it here and people have really welcomed me. This is a perfect place for my internship!”

Mondello also will be spending his summer feeding and caring for the farm’s hens and pigs, as well as tending to the vegetable and herb gardens that produce corn, beans, lettuce and tomatoes for the convention center’s in-house recipes and catering menus.

But the young intern’s summer endeavors wouldn’t have been possible without Del Regno, who dreamed up the idea of an onsite farm when the convention center opened in June 2013, and worked with facility management company SMG to place bee hives on what started as bare gravel plot and evolved into the fruitful boutique operation it is today.

Situated just outside the windows of the facility’s Grand Ballroom, Real FarmVille was a much photographed and ogled spectacle among the 15,000 credentialed reporters covering the 2016 Republican National Convention at the HCCC, according to convention center officials.

The creation of a sustainable onsite farm also played an important role in helping the HCCC achieve its sustainability goals and LEED Gold certification, which it was awarded in 2014.

According to Del Regno, the vegetable plots now grow more basil than the kitchen can handle; the two-dozen eggs laid daily by the site’s busy chickens are used in breakfast sandwiches and served poached, and the honey produced by the hives is used in honey mustard vinaigrette dressing, house-made granola bars and cheese boards, and in convention center menus.

The two Hungarian heritage sows, Sage and Honey, and a boar named Eddie came from local farms. The sister sows will be used for breeding and will not be slaughtered.

Since a small urban farm like Real FarmVille can’t be expected to provide the massive amounts of food a bustling convention center typically requires, Levy, in keeping with its commitment to sustainability and social responsibility, partners with Chef’s Garden, a local, family-owned, 300-acre sustainable vegetable farm located in Huron, OH, and makes every effort to source responsibly raised food products from local farmers whenever possible.

Organizers are constantly looking for any edge to grow their shows. But those who plan and consider the Second-Year Quotient can experience a big difference – both to the bottom line and attendee satisfaction. “2YQ” can be strategic planning factor that is based on the likelihood first-time attendees will return to the same event in the future.

Driving return attendance is a hot button issue for event organizers and it has a lot to do with a

first-timer having a good experience. There are many ways to ensure first-timers have a good

experience and your event technology can be a major component of that success. But let’s first take a look at why it’s so important to consider the 2YQ in the planning stage.

Why is the Second-Year Quotient Important?

According to The 2016 Benchmark & Trends in Attendee Acquisition report, trade shows spend an estimated $300,000 on a wide range of marketing tactics to increase attendance. After all this time, money and resources, if you’re lucky you hit your net new attendance goal.

But if you can get attendees to come back to your event for a second year – improving your Second-Year Quotient – there’s an increased likelihood they’ll make your show part of their annual event calendar. And there are big benefits when repeat attendees come back year after year.

Event organizers should look to the business world for customer acquisition cost data and the value of returning business or in our case, repeat attendance:

The cost of acquiring a new customer is four to ten times more than retaining an existing one. If you boost your Second-Year Quotient, you’ll have to spend less on marketing. Data on customer acquisition costs supports this theory.

According to a Harvard Business School study, increasing retention rates by five percent typically increases profits by 25 to 95 percent.

With the potential for big payoffs, organizers should look to event technology as an important way to support a good first-year experience and thereby increase their Second-Year Quotient.

Here are five tips on how to best prepare an event technology strategy to achieve a positive 2YQ:

1.     Match Your App Features with Your Event’s Persona

A key part of your Second-Year Quotient plan is aligning your event technology strategy with your event persona. What are your attendees’ characteristics? What’s most important to them during your event experience – education, seeing new products or networking?

This audience understanding will shape your event technology strategy. For example, a Pokemon Go-inspired technology activation that relies heavily on gamification doesn’t fit the typical event persona found at many medical shows.

2.     Use the “First Timers” Feature in Your Event App 

While you’re in the earliest event planning stages, take a moment to walk in a first-timer’s shoes. They’ve never been to your event before. There’s good chance they could easily be overwhelmed and intimidated figuring out how to make connections or navigate the show floor.

Ask yourself how first-timers can get the most out of your event by walking away with an experience worthy of a slot on their annual calendar. This mindset will not only shape your “First Timer” content but also may spark other areas in which this helpful content can be featured throughout your event app.

For example, popular “First Timer” content can include dedicated meet-ups, highlighting sessions geared to new attendees, first-timer incentives at local restaurants or activities to check out in free time.

3.     Plan the Pre-Event Experience

Make it a priority to identify first-time attendees during the registration process so you can create a segmented group of newbies and address their unique needs.

Give them helpful and tailored tips, ideas and information well before they land on-site and you’re well on the way to having them form a positive impression of your event – and boosting their likelihood to return.

As one example, before they even leave for the show, remind first-time attendees to download your mobile event app. Explain how the app can be used to create a more relevant and personalized experience – especially if you’ve created a “First Timers” feature.

You can also make the pre-event experience more pleasant through special geo-fence event app alerts. These alerts contain anything from helpful information to agenda updates to safety and security notices.

4.     Activate the Live Experience

Event technology plays an important role in supporting a positive first-time experience. According to The CEIR Attendee Retention Insights study, a whopping 98 percent of respondents say the ability to compare brands, talk to experts and learn about new products is a priority.

Create a good experience by including interactive floor plans and maps in your event app to make it easy to find exhibitors and get around the show floor. For example, attendees can simply select a vendor they’d like to visit or a session to attend, and the app will highlight the best path to get there.

Organizers can also create a custom audio tour for their event app that guides attendees through a curated experience.

Eighty-three percent of repeat attendees also say it’s important to “see, touch and interact with new products.” Use event technology to create a good first-year experience and make it easy for attendees to discover new products using a New Product Showcase. Use the show app to scan tags placed throughout the showcase displays. Attendees can receive detailed descriptions about new products, find the exhibitors who make them and how to learn more, all with a simple scan.

Another way you can give attendees a good first-time experience is by having them use their event app for a treasure hunt. Treasure hunts offer a fun and interactive way for your attendees to experience your show through the app. It also drives attendees to sponsor’s booths, which can increase show floor traffic, and drive exhibitor engagement.

And any first-time attendee experience isn’t complete without the ability to meet and mingle with new colleagues. Beyond simple first-time attendee badges, stickers and meet-ups, use in-app event technology networking to help attendees network with each other.

5.     Use Event Data for Continuous Improvement

According to the Convention & Exhibition Management Technology Study from the Trade Show News Network, two-thirds of respondents named the “ability to use event data to improve attendance marketing and communication” as the most important event technology development in recent years.

So once your event is over, don’t forget to mine all the analytics from your event technology platform to identify additional ideas to keep improving the attendee experience.

With pre-planning and the right event technology platform, you have a better chance of creating an amazing first-time experience that will leave attendees wanting more of your event – and returning for a second year.
